Data Confirmation Access

If you're using the Aeries App, click the three dots on the bottom right corner and select full portal for a responsive and accessible way to complete Data Confirmation on the go.

Family Information

After logging in and selecting the Data Confirmation tab or alert, you will be asked three questions: 

• Is the student is currently in Foster Care?
• Does the student have a parent/guardian who is active military?
• Is the student is currently experiencing homelessness?

Income Survey

Parents and guardians are asked to complete an income survey. In March 2023, California passed AB 130 which mandates that TK-12 public school districts provide two free meals to students requesting a meal, regardless of their free or reduced priced lunch. This portion of data confirmation is an alternative to applications that help schools continue to fund meals.

Questions asked include:

• How many people are in your household?
• What is your total monthly household income?

Your household income information makes a difference. By completing this section, you help WSD receive important state and federal funding that supports teachers, student programs, technology, counseling, meals, and other resources that benefit all students. Your information is confidential and only used to determine funding eligibility.

Contact Information

The contacts screen allows you to update your current contact information for parents and guardians and for emergency contacts. This will insure that the school site is updated with accurate contact information.

Each student must have one contact labeled parent/guardian. This contact requires a name, phone number, email, relationship, notification preference and education level. The notification preference “general and emergency” is used of all general messaging including attendance calls, school events, or announcements.

For an emergency contact, populate the contacts name, relationship, at least one phone number, and select the notification preference “emergency only.” These contacts are only used in emergency situations where the school sends an urgent message.

Medical History

To insure that all medical information is accurate, this portion allows you to edit or add medical conditions for your child through a predetermined list.

Documents

The documents screen is used to provide all the required information such as student handbooks, student rights and responsibilities, health care, and more.

By clicking the document a new window will open and appear as read so you can move to the next steps.

Authorizations

This tab allows you to consent to which data can and can't be released such as the media release for social media. 

The district does not release information or records concerning your child to non-educational organizations or individuals without consent.

E-Signature

The last step is to confirm that all previous information is correct by clicking save and continue. From here you will see a section that reads "Thank you for confirming the student data in the system. Print New Emergency Card." 

On the first day of school, registration, or back to school night, we ask that you bring the printed emergency card to your school site.

Data Confirmation is Missing.

What do I do if the Data Confirmation tab and alert is missing in the portal?

If you just added your student or just don't see the data confirmation alert or tab, log out and log back in. If it still doesn't appear, navigate to Student Info > Data Confirmation. If you receive a "System Error" or nothing happens, contact your school or district office, as they may need to update your parent portal permissions.

What should I do if I don't see all of my children?

Go to the upper-right corner of the desktop portal, click your email address, and select Add New Student to Your Account using the verification code provided by the school.

"No Parent/Guardian Contact Record Associated" Error

My student isn't showing as tied to my account. What do I do?

If Aeries blocked your confirmation under the Contacts section and claims that you aren't tied to the student, this typically happens if the school has you listed as a "General Contact" rather than a "Parent/Guardian," or your email address doesn't perfectly match. You will need to contact your school's front office to update your record.
